Beacon Integration

 

Overview:

Beacon now integrates with JobNimbus! This integration will allow materials to be ordered in JobNimbus with a material order and shipped/delivered to the job site through Beacon.

Beacon Roofing Supply, Inc. is one of the largest distributors of residential and non-residential roofing and complementary building products in North America. To learn more about Beacon Pro+, please visit their website here: https://www.beaconroofingsupply.com/

JobNimbus loads products from Beacon's product catalog. You may then create estimates and material order templates in JobNimbus with the Beacon products. You may also import up to 15 of your most recent templates from Beacon Pro+ into JobNimbus. The Beacon catalog will generate for your market only. This includes multiple locations through a Beacon Pro+ account or a job within Beacon. The pricing, is the most recent Beacon pricing when the order is placed.

Beacon set up:

Make sure you are set up with a Beacon Pro+ account. Each JobNimbus user must have a unique login for Beacon on a Pro+ account if they wish to place an order. If new users need to be added, login to you Beacon Pro+ account and select "My Account" and "User Permission". Beacon Pro+ is currently free.

 

1. Enable Beacon

How to enable Beacon in JobNimbus:

  • Go to "Settings"
  • Select "Features"
  • Scroll down to "3rd Party Features"
  • Find "Beacon Roofing Supply"
  • Select "Enable"
  • Select "Connect Account"
  • Input your Beacon Pro+ email address and password
  • You may then select "Markup" and "Import Beacon Pro + Templates" if desired. The "Markup" selected will then be the default for all products unless they are manually changed in the Products & Services.

*The "Material Order" feature within JobNimbus will automatically be enabled when you connect with Beacon. 

 

2. Create an estimate and convert it to a material order

  • Go to a "Contact" or "Job" in JobNimbus. "Contact" or "Job" must have a valid property address entered.
  • Proceed to the financials tab and select "Add Estimate"
  • Select "Beacon Roofing Supply" from the "Supplier Catalog"
  • Select "Saved Estimates" if templates were imported.
  • Select appropriate "Beacon Account"
  • Select appropriate "Beacon Job"
  • Select "Item Name". You may then search for Beacon products by entering 3 characters and selecting "Search Supplier Catalog". You may search by the item name,  item number, product number, manufacturer number, category code, or size. Items must be "Linked" with Beacon for the order to be successfully placed.
  • Enter any special instructions into the "Customer Note" field. When converted to a "Material Order" these notes will display in the "Special Instruction" field. Special instructions may include orders placed for will call or any delivery instructions.
  • Select "Save Estimate"beacon02
  • Select the ellipses on the preview of the "Estimate" and then "Convert To" and then "Material Order"beacon03
  • Select "Save and Place Order"
  • You are then taken to the "Order Preview" screen.
  • You may edit the "PO#" (material order number or "CUST PO" within Beacon) on this page before the order is placed.
  • You must select the "Requested Delivery" date. The "Delivery Date" may be as soon as the next day, but will be confirmed with Beacon.
  • Select "Time"
  • Select "Place Order"

  • Confirm "Yes"

  • A successful order will take you to a preview of the material order and in the "Activity" show you a "Status" of "Sent to supplier" (If you scroll to the bottom of the submitted material order).
  • If you refresh, in the bottom right corner, on the "Activity" you will see that the "Status" will change to "Order received". The order is typically received by Beacon within one minute of being placed.

 

  • Once the order is placed, you will receive a confirmation email from Beacon with the details. The material order delivery date chosen, will then display on your calendar within JobNimbus. "Material Orders" must be selected to display within your calendar options for this to happen.

 

 

 

 

 

 

3. Place a material order with Beacon 

  • After enabling the feature you will be able to create a material order and select the Beacon suppliers catalog.
  • Go to a "Contact" or "Job" in JobNimbus. A valid address must be entered in the "Contact" or "Job".
  • Proceed to the financials tab and select "Add Material Order"
  • Select "Beacon Roofing Supply" from the "Supplier Catalog"
  • Select "Saved Material Orders" if templates were imported.
  • Select appropriate "Beacon Account"
  • Select appropriate "Beacon Job"
  • Select "Item Name". You may then search for Beacon products by entering 3 characters and selecting "Search Supplier Catalog". You may search by the item name,  item number, product number, manufacturer number, category code, or size. Items must be "Linked" with Beacon for the order to be successfully placed.
  • Enter any needed "Special Instructions" in the field. Special instructions may include orders placed for will call or any delivery instructions.
  • Select "Save & Place Order"
  • You are then taken to the "Order Preview" screen.
  • You may edit the "PO#" (material order number or "CUST PO" within Beacon) on this page before the order is placed.
  • You must select the "Requested Delivery" date. The "Delivery Date" may be as soon as the next day, but will be confirmed with Beacon.
  • Select "Time"

4. Product catalog

Beacon's product catalog contains thousands of products. JobNimbus will add products that are imported with templates or that are manually linked.

Search for Beacon products by entering 3 characters.You may search by the item name, item number, product number, manufacturer number, category code, or size. Items must be linked with Beacon for the order to be successfully placed.

In the examples below you will see linked products and un-linked products. The products with the Beacon icon are linked to Beacon's product catalog.

 

On a material order or estimate:

      • Type in the search criteria in the "Search" field
      • If you cannot locate the product select "Show More"
      • "Search Supplier Catalog" to find additional options

In Products and Services:

      • Go to "Products & Services" in "Settings"
      • Select "Add Product"
      • Select "Add from Supplier"
      • Choose "Beacon Roofing Supply"
      • Type in the name of the product
      • Save Product

 

Editing existing products and link them to Beacon:

 

  • Go to "Products & Services" in "Settings"
  • Select "Edit" Product

  • Select "Link with Supplier"
  • Choose "Beacon Roofing Supply"
  • Modify the product name (use a key word) if you cannot locate it in the catalog

  • Select "Save Product"

 

5. Frequently Asked Questions 

1) I have a template within JobNimbus, can I use that with Beacon?

Yes, you can select "Link with supplier" on each JobNimbus product, to link it with the Beacon product.

2) Can I create new saved templates within JobNimbus that use Beacon products?

Yes, enter your products into an estimate or material order and select "Save as Template". You may later edit the template through selecting the pencil icon in the drop-down menu.

3) For color sub-categories like shingle color, will the color of the shingle be added to the "Products & Services" within JobNimbus?

No, the individual color must be selected each time a new document is created unless it is in a saved template. In a saved template, the selected color will remain unless edited.

4) Why do some color options not display?

Only the available color options in the selected Beacon market will display. The same color options may not be available in Colorado that are available in Florida.

5) Will I be notified if my requested delivery date or time doesn't work?

Yes, you will be contacted by your Beacon Sales Rep directly.

6) What if a product shows a price of $0.00?

Pricing will be updated at the Beacon branch when the order is placed. This may be because Beacon has not entered the price into their system.

7) What if I want to pick up my materials at the Beacon branch instead of having them delivered?

You can add a note in the "Special Requests" field of a material order or in the "Customer Notes" of the estimate, specifying that you will be picking up the materials.

8) Why can't I edit a material order in JobNimbus once I submit the order to Beacon?

Currently, the integration with Beacon is a one way sync, JobNimbus to Beacon. Those items ordered cannot be edited or deleted within JobNimbus and you must reach out to Beacon directly.

9) How can I update the delivery date of the material order on my JobNimbus calendar if my Beacon rep tells me it will be delivered on a different date?

Drag and drop the appointment on the JobNimbus calendar to the new scheduled day.

10) Will enhancements be made to this functionality?

Yes, we are currently working with Beacon to develop new features for this integration. Any feedback you may have is welcome!

11) How do I change the "Markup" on the Beacon items?

Markup on a product can be changed in the "Products and Services" section of JobNimbus. Or, you may edit any saved templates in JobNimbus by selecting the pencil icon next to the saved template.

12) Can I run report that displays the material orders and the supplier information?

Yes, you may. To do this, go to "Reports" within JobNimbus and select "My Saved Reports" and "Create Material Order Report". You may then add the "Column" to this report for "Supplier Info".

13) Do each of my JobNimbus users need their own Beacon Pro+ login?

Yes, each JobNimbus user must have a unique login for Beacon on a Pro+ account if they wish to place an order. If new users need to be added, login to you Beacon Pro+ account and select "My Account" and "User Permission".

14) How can I restrict who can submit material orders to Beacon?

This can be accomplished by selecting "My Account" and "User Permissions" within Beacon.

15) Which Beacon templates are imported into JobNimbus?

The 15 most recent templates are imported into JobNimbus. Only those templates that do not exist with the same naming convention in JobNimbus, will be imported.

16) If an update is made to my templates within Beacon Pro+, how can I update those within JobNimbus?

If a template has been updated within Beacon and you would like to re-import the new template into JobNimbus, you will need to delete the template from the estimates and invoices in JobNimbus by selecting the garbage can icon. You can then go to "Settings" and select the "Beacon" tab and "Import Templates".

17) If I make edit my order in Beacon Pro+, are those changes going to display within JobNimbus?

No, the current integration is only a one way sync, JobNimbus to Beacon. Changes made within Beacon Pro+ will not display in JobNimbus.

18) Does the material order in JobNimbus show how much I will be charged for taxes?

Currently, the sales tax is input on the Beacon side. To account for this, go to the "Contact" or "Job" and select the "Financials". Then select "Add Budget" and add the taxed amount. Budgets must be enabled in "Settings" then "Features" within JobNimbus for this option to appear.

19) How does the "Search Supplier Catalog" work?

You may search by the item name,  item number, product number, manufacturer number, category code, or size. Items must be "Linked" with Beacon for the order to be successfully placed.

20) What if I cannot find a product I am looking for?

Try searching by the item name,  item number, product number, manufacturer number, category code, or size. If you are still able to locate the product, reach out to your Beacon Sales Rep.

21) Can I override the Beacon cost? 

Yes, you may override the Beacon cost by going into "Products and Services" within "Settings" and entering the desired "Cost". This will override any "Cost" that may come from Beacon. If you would like to reset the "Cost" field to use the Beacon pricing, you will need to change the field to $0.00. Please note, "Cost" within JobNimbus is the actual "Cost" of the item. "Price" is the amount that you charge the customer after any markups.

22) Stock Quantities 

Currently, there isn't a way to check the stock quantities on items. Beacon will ensure the order is filled even if they need pick up additional quantities from another branch. 

23) How do I unlink a product?

Go to settings in products and services. Edit the product. Select the trashcan icon.

 24) How do I add another user to my Beacon Pro+ Account?

Within Beacon Pro+ Select "My Account" then "User Permission" then "ADD NEW USER"

 

 

 

 

 

 

 

 

Constraints

Mobile:

Currently, you can create estimates and material orders using Beacon products on the mobile app but you cannot place an order directly to Beacon.

Sync:

The sync to Beacon is a one-way sync.

Once the material order has been sent to Beacon, you can no longer remove, edit, or delete items from the order. Please contact your Beacon sales rep or log in to your Beacon Pro+ account to makes these kinds of changes. If you need to add additional items to a Beacon order after it is placed, you may create a new material order.

Taxes:

Currently the sales tax is input on the Beacon side. To account for this, go to the "Contact" or "Job" and select the "Financials". Then select "Add Budget" and add the taxed amount. Budgets must be enabled in "Settings" then "Features" within JobNimbus for this option to appear.

Quickbooks: 

When syncing with Quickbooks desktop, your product names must be less then 31 characters in length. This is due to the fact that Quickbooks desktop limits the number of characters allowed in the product name field.

To account for this, Beacon material names have been automatically shortened to 31 characters or less with a ~X. If there are duplicate material names that are 31 characters, ~XX, will be added to the end of the material name. The entire material name will be included in the description field of the product.

Material Orders do not sync to Quickbooks.
