Customizing JobNimbus for Companies in the Solar Industry

You can customize Jobnimbus to work for you and your industry. It is super easy to customize JobNimbus to work for your company. To learn more about setting up JobNimbus, read our articles here.

The following are common ways to customize JobNimbus so it works for the Solar industry.

Workflow and Statuses

Workflows are the backbone of JobNimbus, they are what drive your customers through your job processes and boards. To read about Workflows and Statuses, read our article here. When creating your workflow, you can choose which statuses work best for your company's style of work. The workflow we recommend you create should include the following statuses:

  • Proposal 
  • Inspection
  • Scheduled
  • Installed
  • Permit Scheduled
  • Site Survey
  • Meter Queue
  • Meter Set
  • Commission
  • Rebate
  • Rehash

Task types

Using Task types, you can better organize the appointments in your JobNimbus calendar. This can help you know what type of tasks you are creating. You can also use your task types to create reports and automations for your company. To learn more about Task Types, read in our article here. The different task types we recommend you create for a Solar company are as follows:

  • Submit Permit
  • Engineering Plan
  • Materials
  • Install
  • Follow Up Phone Call

  • Door Knock

Custom Fields

Custom Fields help you add information to a Contact or Job's file that is not apart of one of JobNimbus's default information fields. you can use these Custom Fields to create reports. Automation Rules

The automations feature functions like your personal assistant. You can use automations to create rules to move Contacts or Jobs through statuses in a workflow, create tasks, and even send email templates. There are two different types of Automation rules, Event based, and Time based. To learn more about Event based automation rules, read our article here. For companies in the Solar industry, we find the following automations useful to help your business:

  1. Notify team members with details when a contract is signed
  2. Create a task when a contract is signed
  3. Notify team members when a contact has been in approval too long
  4. Verify Permitting Stages for Contact in Approval

Recipe 1: Notify Team Members with Details when a Contract is Signed

This automation will notify a team member via email when a contract is signed with the custom fields of what is in the contract such as their financing terms and the panels and inverter.

Prior to the automation setup:

  • Create your document template for the contract. When creating the document template, add custom fields using the template fields. To learn more about creating custom fields, read in our article here. To learn more about creating document templates, read our article here. Make sure you include the signature template field. To learn about the signature template field, read our article here.
  • Create an email template. When creating the email template, add the same custom fields you used when creating the contract. To learn more about creating email templates, read our article here.

Creating the Automation

  1. Choose the "Time based" trigger type
  2. Select the "Activity" trigger record
  3. Run this automation "X " (Where X is the amount of time in Minutes, Hours, Days, Weeks, Months, or Years) "After" "Date Updated"
  4. Select "Add Condition"
  5. Make the condition: If "Note" contains any "Document Signed"
  6. Check the radial for "Require all conditions to be true"
  7. Select "Add Action" again
  8. Choose the "Send Email" action
  9. Select the appropriate email template
  10. Type in the subject of your choice
  11. Select "Appropriate Contacts" as recipients.
    Test a contract to test the automation. Create a document in the test contact and sign it.Automation Recipe 1

Recipe 2: Create a Task when a Contract is Signed

This automation will create a task when a contract is signed.

Prior to the automation setup:

  • Create your document template for the contract. To learn more about creating document templates, read our article here. Make sure you include the signature template field. To learn about the signature template field, read our article here.

Creating the Automation

  1. Choose the "Time based" trigger type
  2. Select the "Activity" trigger record
  3. Run this automation "X " (Where X is the amount of time in Minutes, Hours, Days, Weeks, Months, or Years) "After" "Date Updated"
  4. Select "Add Condition"
  5. Make the condition: If "Note" contains any "Document Signed"
  6. Check the radial for "Require all conditions to be true"
  7. Select "Add Action" again
  8. Choose the "Create Task" action
  9. Create your task and choose the assignees, then click "Save"

Recipe 3: Notify team members when a contact has been in approval too long

This automation will notify a team member or set of team members when a contact has been sitting in the approval status or another specific status for too long, such as 20 days.

Creating the Automation

  1. Choose the "Time based" trigger type
  2. Select the "Contact" trigger record
  3. Run this automation "X " (Where X is the amount of time in Minutes, Hours, Days, Weeks, Months, or Years) "After" "Date Status Changed"
  4. Select "Add Condition"
  5. Make the condition: If Type is equal to "Select appropriate type"
  6. Select "Add Condition"
  7. Make the condition: If Status is equal to "Select appropriate status"
  8. Check the radial for "Require all conditions to be true"
  9. Select "Add Action"
  10. Choose the "Send Email" action
  11. Select the appropriate email template
  12. Type in the subject of your choice
  13. Select "Appropriate Contacts" as recipients.

Recipe 4: Verify Permitting Stages for Contact in Approval

This automation will notify a team member to verify a contact that has been in the approval status for a specific amount of time when it has an HOA or other permitting stage.

Prior to the automation setup:

  • Create Custom Fields for your Contact for the permitting stage, such as HOA, and the year it was submitted.
  • Create an email template. To learn more about creating email templates, read our article here.

Creating the Automation

  1. Choose the "Time based" trigger type
  2. Select the "Contact" trigger record
  3. Run this automation "X " (Where X is the amount of time in Minutes, Hours, Days, Weeks, Months, or Years) "After" "Date Status Changed"
  4. Select "Add Condition"
  5. Make the condition: If Status is equal to "Select appropriate status"
  6. Select "Add Condition"
  7. Make the condition: If HOA (or other permitting stage field) is equal to "True"
  8. Select "Add Condition"
  9. Make the condition: If HOA Submitted (or other permitting stage field) occured "This Year"
  10. Check the radial for "Require all conditions to be true"
  11. Select "Add Action"
  12. Choose the "Send Email" action
  13. Select the appropriate email template
  14. Type in the subject of your choice
  15. Select "Appropriate Contacts" as recipients.
