An Access Profile is a profile assigned to a particular user/users dictating which permissions they have. They can have full access to all jobs and contacts if they are an Admin or granted a full access profile. Or, they can have limited access to the jobs and contacts that they are assigned. Most companies prefer that their contractors only see the work they are assigned, or that their salespeople only able to view the leads they are working.
- How do I create a custom profile?
First, make sure you have added your team member or that the person you want is a team member.
Create a custom profile:
From the drop-down menu under the user's name in the top right of the page, select Settings. On the following page in the left-hand column, select Access Profiles. For a new Access Profile, select Add Access Profile. To edit an existing Access profile, hover over the desired Profile Name and select the corresponding gear/wheel icon. Select Edit.
You also can edit current permissions. Please note that the Admin Access Profile has full access permissions by default in JobNimbus. The primary account owner is typically the first Admin for a company.
- How do make sure I can see the full calendar with everyone's appointments and information?
Usually, an office manager or administrator wants access to see everything. in this scenario, their Access Profile would need to be set to the "Full Access" radio button.

- Private Notes
A private note is only able to be viewed by those who have been granted access to do so within the system. Private notes are created and found within the Activity and Tasks tab of a Contact/Job record. To enable Private Notes on an Access Profile, select the Private Attachments and Notes checkbox within the Feature Access section of an Access Profile.
You can add notes to any Contact or Job record via their Activity and Tasks tabs.
- My limited access profile can still see all my contacts?
Only allow Contact/Job record access if they are assigned:
From the drop-down under the user's name in the top right of the page, select Settings. In the left-hand column on the corresponding page, select Contact Workflows. Hover over the desired workflow and select the gear/wheel icon and select Edit. Select the checkbox for "Only Team Members that are Sales Reps or Assignees". Once complete, select Update.
