Duplicate Name Exists Error: The name supplied already exists. : Another customer, vendor or employee is already using this name. Please use a different name.
What causes duplication errors?
Duplication errors are caused by many reasons. They can be caused by human error. Or by JobNimbus and Quickbooks not linking the contacts together.The display name in JobNimbus is a field or location that causes this error.
1. The Quickbooks sync has been disconnected and reconnected through changing the sync direction.
2. An employee could create a customer with the same name in each system.
3. It can be caused by making customers active (Quickbooks)/undeleting(JobNimbus) when there is an existing customer in the system already.
4. Uploading contacts into JobNimbus, then connecting to Quickbooks will produce duplications.
How do I fix my duplications?
Keep in mind if you have a duplication error, the pathway between the customers in each system is broken. It will not be re-established.
First, find the contact with the least amount of data. This is the contact that needs to be deleted. Move any important data from that contact to the one that you want to keep.
This can be confusing because the contact has the same name. This is where renaming is useful. For example you can change the display name from "Jane Doe" to "Jane Doe Old". It really doesn't matter what you put in the field display name but it needs to be identifiable.
Keep in mind that renaming the contact will make it sync, unless you change it to a non-syncing status (If you are doing this in JobNimbus that is). If you have many duplication errors, it is advisable for you to completely disconnect the sync and delete them out of whichever system and then re-connect the sync.
After moving data to the customer you want to keep. You may delete your old customer. Make sure to delete that customer out of each system so as not to cause confusion in the future.
